About Us

Outer Spaces is a contemporary visual arts organisation and charity established in 2021.

We support a network of over 1000 artists with rent free, self-managed temporary studio and project space and produce a public programme of commissions, exhibitions, and events to support artists in our network with visible opportunities.

We lease vacant commercial properties in 12 local authority areas in Scotland on a temporary basis. Our spaces are made available for artists, art collectives, and organisations to use free of charge, while landlords are planning redevelopments or new uses.

Central to Outer Spaces ambition is supporting artists to take risks and progress their work, at all career stages including new graduates, early career artists and those returning to practice. We achieve this through investing in a programme of professional development that engages with artists, curators and partners spanning awards, exhibitions, commissions, studio-residencies, and events.

The Role

We are looking for an adaptable and flexible new team member with some relevant experience to assist the Spaces Manager (Glasgow & West). The post holder will be assisting in the management of existing spaces and the set up and occupation of new spaces across Glasgow and towns in Inverclyde, Renfrewshire and North and South Lanarkshire, including currently; Greenock, Paisley, East Kilbride and Motherwell. They will work within a team that supports artists and emerging networks in temporary spaces in Glasgow and the surrounding areas as well as in major cities and towns across Scotland.

Main Duties & Responsibilities

Building Visits

  • Visits: travel to our existing spaces in Glasgow and towns in the west of Scotland on a regular basis
  • Spaces inspections: carry out condition checks, meter readings, and checks of fire safety equipment and signage
  • Training: undertake training in fire safety testing as required; conduct on-site testing of fire safety equipment where appropriate
  • Building use: monitor appropriate use of individual spaces and common areas, including management of rubbish and recycling
  • Security and access: monitor use of security arrangements and controls for each space
  • Reporting: report on building use after each visit
  • Contractors: facilitate visits and meet external contractors on-site when required
  • Emergency Contact: stand in for the Spaces Manager in their absence with landlords, resident artists, contractors, and the Outer Spaces team when necessary

Spaces Set-up

  • Property viewings: attend viewings of new properties as required; assist with viewing checklists and property information forms
  • Health & Safety: assist the Spaces Manager with building and fire safety risk assessments; fire evacuation plans and fire safety signage and floor plans
  • Security and access: assist the Spaces Manager to establish controls for each new space
  • Building tours: assist with viewings for interested artists/groups/partners and matching them to appropriate spaces, in line with conditions of use and our terms & conditions

 Artist and Network support

  • Expressions of Interest: assist with call outs and expressions of interest from artists within the Outer Spaces network and on our waiting lists
  • Applications: provide support for the application process with artists requiring space
  • Artist records: assist the Spaces Manager with procedures and maintenance of the artist network database
  • Building inductions: support the induction process for artists prior to entry
  • Building issues: be a point of contact for artists and report building issues to the Spaces Manager
  • Relocations: support the moving process out of spaces when the time comes to leave a building

Record keeping

  • Spaces: assist the Spaces Manager to co-ordinate and record all access and security arrangements, H&S maintenance and testing requirements, building signage, condition checks, meter readings, and Health & Safety measures for properties
  • Artists: assist the Spaces Manager to ensure all application paperwork is exchanged with artists, filed appropriately, and artist information is inputted onto our database; keep accurate records of artist occupancy on floor plans where required; liaise with artists during their occupancy as required; produce information signs as required

Other

  • Travel: travel is an essential part of the role, and you may be asked to travel to and work in other locations in Scotland as required
  • Driving: when public transport is unavailable, this role requires the post holder to be a current driver with a UK driving licence who is in possession of a car with an up to-date MOT. A mileage allowance is paid.
  • Other tasks: undertake any other tasks that might reasonably be seen as falling within the remit of Spaces Assistant

Person Specification

Essential Skills and Experience

  • Experience of working in a customer focused team
  • Relevant experience in carrying out administrative tasks and using Office 365
  • Excellent communication skills with an ability to maintain relationships, both internally and externally
  • Ability to follow instructions
  • Commitment to equality, diversity and inclusion
  • Demonstrable interest in the arts
  • An understanding of the arts and artist’s practices
  • UK driving licence, car owner and driver

Desired Skills and Experience

  • Experience of working in a studio, venue or public building
  • Property Management experience
  • Knowledge of Health & Safety

Terms & Conditions

Salary: £27,800 per annum

Hours: Full time, 35 hours a week

Holidays: 33 days including statutory holidays

Contract: Permanent

Notice period: One month (employer and employee)

Reporting to: Spaces Manager (Glasgow & West)
